Presenter Media is a pre-recorded video or audio file of a presentation that you can upload to use in Simu-live, Sim-2-Live, or On-Demand webinars. You can set timing for each element in your webinar storyboard to align with the timing of the pre-recorded presentation. Presenter Media files can be recorded offline, or pulled from a previously run webinar in Webcast Elite.
Click each tab below to learn more about setting up and using Presenter Media in your events.
Things to Know
- This option is an alternative to recording over the phone in Elite Presentations. The Presenter Media file serves as the entire presentation, so you will not be able to record audio via dial-in.
- Only one Presenter Media file is allowed per webinar. The file cannot be deleted, but can be replaced with a new file.
- Presenter Media is not available to add to fully LIVE webcasts. It is used only for Simu-live, Sim-2-Live, or On-Demand webinars.
- Presenter Media is NOT the same as Video Clips you can pull into the storyboard. Presenter Media and Video Clips are used for different purposes and require different configuration.

Media Player Tool Setup
When setting up the Audience Console in Webcast Elite for your pre-recorded event, you'll want to configure your Media Player tool based on the file type.
In the Console Builder for your event, hover over the Media Player tool, then click the gear icon > Configuration > Media Player to open Media Player configuration options.
Audio-Only Presenter Media
When using Audio-Only Presenter Media, configure the Media Type as Audio Only. Configuring as Audio Only can help save space on your console.
Video Presenter Media
When using Video Presenter Media, configure the Media Type for video by selecting the appropriate Aspect Ratio and Engagement Tool Size.
Uncheck the Auto expand while video clip or screenshare is playing box if you'd like the Media Player to stay locked at the set size for the webinar duration. This ensures your audience will be able to see your slides and all the tools in the console during the event.
Uploading Presenter Media
To upload your Presenter Media file, use your event's Presenter Link to log in to Elite Presentations as a Producer.
- Click Setup at the bottom of Elite Presentations to open the Setup window.
- Under the Media tab, click the Presenter Media tab.
- Choose Audio (.wav) or Video (.mp4).
- Click Upload.
You can also upload and configure all other presentation elements for your storyboard in Setup (PowerPoint Slides, Video Clips, Polls, and URLs).

Setting Slide Timings
Once the Presenter Media file is uploaded, set timings for ALL storyboard elements, including slide animations. You can add the timings manually, or capture them in real-time as the Presenter Media file plays.
The time code is when the element will display to the audience. For example, if the time code entered is 00:01:30, the storyboard element will show to the audience one minute and 30 seconds into the presentation. All time codes must be unique. You can always go back and change the time codes, if necessary.
Note: One PowerPoint slide must be uploaded for the webinar to begin streaming to your audience. This element should have a time code of 00:00:00.
If you do not plan to share a PowerPoint deck during your event, review our instructions for setting up video-only events.
Option 1 - Setting Slide Timings Manually for Each Element
- Select the element in the storyboard.
- Type in the time code for that element into the Time Code box.
- Click out of the Time Code box to automatically save the timing.
- Complete this process for each storyboard element, including any animations where applicable.
Option 2 - Capture Slide Timings in Real-Time as the File Plays
- Toggle ON Capture Timings in the Presentations View window.
- Click the Play button to start the Presenter Media file.
- Click the yellow Next arrow while the file is playing to capture the timings automatically, including slide animations.
- Click the Stop button to stop the Presenter Media file.
- The system will automatically save the timings.
Publishing the Presentation
Although the presentation file will save automatically once the timings are set, the presentation still needs to be published once every element has a time code.
Click on the first element in your storyboard (so the system knows to start your presentation there) and click Publish in the Presentations View window. A message window will open to confirm you want to publish.
Once the publishing process is complete, wait approximately 10 minutes, then use the Preview Link to review your entire presentation.
You can make changes to your presentation and re-publish as many times as needed. Once changes have been made, click Publish again. A message window will open to confirm you want to publish over the existing presentation. Click Continue to publish.
Note: Simu-live webinars MUST be recorded AND published at least TWO HOURS before the scheduled start time. Elite Presentations will switch to live mode two hours before the scheduled start time. NO CHANGES can be made to your event once live mode is activated, including changing the start date/time, recording elements, choosing Rollover to Live audio, etc.
Downloading a Presenter Media File
You can download and reuse a Presenter Media file from a previous event (no matter the original Present Type) to repurpose it for another presentation, or to edit it for on-demand viewing after a live webinar has run.
Note: Editing a Presenter Media file cannot be done within Webcast Elite. You must download the file, edit it offline, and upload the revised version. Once the revised version is uploaded, you'll need to republish the presentation so the revised version plays to your on-demand viewers. Learn more about editing your webinar for on-demand viewing.
Using the Presenter Link, log in to Elite Presentations as a Producer. Click Setup to open the Setup window. Under the Media tab, click the Presenter Media tab, then click Download to download the video file of your presentation.
To add the Presenter Media to the new event, log in to the new event as a Producer and follow the process for uploading a Presenter Media file. At least one PowerPoint slide must be uploaded to the new event. Publish the event when set up is complete.
