HubSpot Setup

Log in to HubSpot and navigate to Automation on the top menu bar, then select Workflows from the drop-down menu.

To set up a new Webhook, click on Create Workflow.

Under the Start from Scratch tab, select the Contact-based option > Blank workflow > Next.

Click Set up triggers, then choose Form Submission under Filter Type and select the form you'd like to apply to the workflow.  Click Apply Filter then Save.

Click on the + 

You'll have two options for sending registrants to ON24 - using the ON24 app or using webhooks.  Click on the accordion that fits your use case to see more information.

Send Registrants to ON24 using the ON24 App

Select Send Contact Data to ON24 under Integrated apps > ON24 App.

Enter the required Event Id and Event Key in the provided text boxes; also map the required Email address.

You can map additional fields of data you wish to pass to ON24. We recommend First Name, Last Name, and Company as a minimum.

The workflow is ready to be published.

Send Registrants to ON24 using a Webhook

Select Send a Webhook. Under Method, select POST.

Enter your Webhook URL:

• For NA database: https://seamlessreg.on24.com/hubspot?eventid=xxxxx&key=yyyyy
• For EU database: https://seamlessreg.eu.on24.com/hubspot?eventid=xxxxxx&key=yyyyyy

Select Send Contact Data to ON24 under Integrated apps > ON24 app.

Once you have the full Webhook URL, enter into HubSpot and click Save.

Test Connection

To test the connection, click on Test in the top corner, then choose a contact to test.  

Click Send me the HubSpot emails this workflow would deliver and click Test.

A Workflow completed message will appear to let you know the test was successful.

Review & Publish

Once the workflows are setup and tested, you'll need to review and publish.  Click Review and Publish

Confirm Existing Contacts selection

Click TURN ON in the upper right corner:

Click the MARKETING tab and then select LANDING PAGES from the drop-down menu:

Select the Landing Page you would like to use:

Drag and Drop the Form icon onto your Landing Page:

Select the form that you would like to use from the drop-down menu:

Click Save in upper left-hand corner:

Click Publish in upper right- hand corner:

Click Publish now:

You should see a successfully published message:

Confirm Data Has Synced

Copy the URL and paste it in your browser:  

Complete the Registration Form and click SUBMIT:

You will receive confirmation that the Registration form was submitted:

Confirm Registration data has synchronized in ON24.

Webinar Data

From the Settings of your event registration page, click on Manage Registrants and check the data has synchronized.

Engagement Hub Data

From the Registration tab of your Engagement Hub, open Manage Registrants and check the data has synchronized.

Virtual Conference Data

From the Reports tab of your Virtual Confernence, launch VC Analytics. 

From there, open the Registration tab and click on the filter icon to populate registrants.
