This article centralizes all integrations information regarding Dynamics 365 Customer Insights - Journeys, including benefits, FAQs, and setup instructions, using TIBCO Scribe.
This tool was formally known as Dynamics for Marketing.
Things to Know
Benefits
- The TIBCO Scribe solution will allow you to see attendee engagement data in a custom object, such as survey and poll answers.
- The TIBCO Scribe solution will handle opt-in requests. It'll map opt-ins from ON24 to data fields in Dynamics and then sync the event information using the Microsoft tool.
- The tool can create new contacts and leads.
How It Works
Download the attached diagram to understand how the Dynamics 365 Customer Insights - Journeys TIBCO Scribe solution works.
This solution is right for you if you do not want to create the event in Dynamics, but still want to populate the msevtmgt_event, msevtmgt_eventregistration, and msevtmgt_checkin records.
- If the msevtmgt_event record exists, the record will update. If it does not exist, then it will create the msevtmgt_event record.
- If the msevtmgt_eventregistration record already exists, then it'll stop because it shouldn't create a duplicate record. If it doesn't exist, then it'll look up the contact by using the email address. If there is a contact with that email address, then it'll create a msevtmgt_eventregistration and attendee_customentity (if needed) record. If there isn't a match, then it will look up the lead by using the email address. If it does exist, then it will only create the attendee_customentity record. If there is no lead, then you have the option to create a lead record, which will then create the custom entity.
- The TIBCO Scribe solution will look up the attendee. If the msevtmgt_checkin already exists, then it'll update the registrant-attendee_customentity record. If it doesn't exist, then it'll create the msevtmgt_checkin and then the registrant-attendee_customentity record.
Setup
- Provision a token and name it Dynamics 365 CRM
- Submit a ticket to Support to have a TIBCO Scribe account created. Provide the email address of your Dynamics 365 CRM administrator.
- After receiving the TIBCO Scribe email invitation, your Dynamics 365 CRM administrator will follow the TIBCO Scribe Connector Guide to complete the following:
- Logging into Scribe
- Adding a connection (specifically for Microsoft Dynamics)
- Download the ON24 API Data for Dynamics CRM Excel file which identifies the ON24 fields that could be synced to your end system. Review the Instructions worksheet.
- Create your API fields in Dynamics for entities: msevtmgt_event, msevtmgt_eventregistration, and msevtmgt_checkin. Ensure ON24 has rights to create, update, and lookup these API Fields.
- Complete the ON24 API Data for Dynamics CRM Excel File and send it to us in your ticket.
- ON24 will push test data through TIBCO Scribe mappings for you to validate.
- Once you confirm integration, ON24 will activate it.
Timing
Implementation Timing
The completion time to integrate data from the ON24 platform will take approximately 4 to 6 weeks to complete. ON24 will be leveraging TIBCO Scribe to pass the data.
Typically, the longest amount of time spent will be during the Testing phase to ensure the data is synced appropriately.
Scheduled Timing
Scheduled timing is when the data passes from ON24 to your end system. If you use TIBCO Scribe, integration is scheduled to run every 2 hours by default, unless otherwise specified.
Note: Scheduled timing is different from Availability Timing.
Availability Timing
Availability Timing refers to when data is available in the data warehouse for the integration platforms to collect.
Timing may fluctuate on heavy traffic days.
- Registrant - 15 minutes
- Attended Live - 30 minutes to 2 hours after the event ended
- Attended On-demand - 4 to 12 hours
Data is processed and made available in a defined order based on business relevance.
- Registrant data is prioritized and becomes available first. Attendee data will be provided once the event activity is complete and reporting is finalized.
- Within attendee data, live event information is prioritized ahead of on-demand activity due to its immediate relevance. On-demand data is processed after live data and appears once all reporting is complete.
This prioritization ensures that the most relevant and time-sensitive information is available first, while maintaining consistent, reliable reporting across all datasets.
Note: Availability timing is different from Scheduled timing.
