HubSpot Integrations Overview

This article centralizes integrations information regarding HubSpot, including FAQs and setup instructions.

Things to Know

  • The HubSpot App will create a new Contact when a Contact cannot be found based on email address.
  • With the Enterprise edition of HubSpot, a custom object will be created to pass registrant and attendee activity linked to the Contact.
  • Event details for every webinar a Contact registers and attends will display under the Contact Activities.
  • You have an option to 'Send Contact Data to ON24' from the ON24 app or the HubSpot webhook functionality when using HubSpot registration forms.

Timing

Implementation Timing

The completion time to integrate data from the ON24 platform to HubSpot will vary according to your resources’ availability.

 

Scheduled Timing

Scheduled timing is when the data passes from ON24 to your end system. Your HubSpot integration is scheduled to run every 30 minutes. If no new data is available, no data will pass.

Note: Scheduled timing is different from Availability Timing.

 

Availability Timing

Availability Timing refers to when data is available in the data warehouse for the integration platforms to collect.

Timing may fluctuate on heavy traffic days.

  • Registrant - 15 minutes
  • Attended Live - 30 minutes to 2 hours after the event ended
  • Attended On-demand - 4 to 12 hours

Note: Availability timing is different from scheduled timing.

Backfills

A backfill is the process of obtaining historical records for your end system.  After your HubSpot App data integration is complete, you will automatically get a backfill for the last 30 days of data. 

Advanced Analytics customers – you can manually export the last 2 years of data from the ON24 platform and import it into HubSpot.

From the Analytics tab in your ON24 account, click on Power Leads to export the data.

FAQs

What is a Custom Object?
A Custom Object is a specific record for each type of ON24 object. For example, five ON24 webinars create five Custom Objects within HubSpot. Users can see when a Contact requests a demo, answers a poll, clicks on content, and more. This information can be used to drive personalized follow-up within HubSpot.
What is a Marketing Event object?  
A Marketing Event object is a new object introduced by HubSpot to correspond to virtual or physical events. A record can be created to correspond to an event outside of HubSpot, like a webinar, and Contacts can be associated with these events.
Can I modify the HubSpot app to not create new contacts?
No, the HubSpot app will create contacts by default. At the present time, this can't be customized.
How do I view event data on a contact?
Click on Contacts from your HubSpot homepage

Select the Contact that you wish to view

Locate the ‘ON24’ Activity Box under the ‘Activities’ tab in the center of the Contact page

Click the ON24 hyperlink to open the activity box for event-specific details
