Things to Know
The ON24 Integration Support team will assist in the setup of the integration mappings within TIBCO Scribe. The data integration is set up at the ON24 account so activity can feed into your Dynamics 365 CRM. The integration service runs in batches as frequently as every hour, and this allows the automated flow of registrant and attendee activity out of the ON24 platform.
Dynamics Entities
The connector uses a user in Dynamics to access the API, and any read/write/edit permissions for the user will open up access to entities and fields in Dynamics. The most common entities we interact with are Contacts, Leads, a custom entity to hold webinar event data (title, start time, end time), and a custom entity associated with Contacts and Leads that holds attendee data (live minutes, archive minutes, engagement score, poll responses, survey responses, etc.)

Contacts and Leads
The TIBCO Scribe API integration can use ON24 registration information to Lookup Contacts and Leads and create Leads if needed.
Custom Entity for Webinar Activity
In addition to pushing registrant data into net new Lead and registrant/attendee data into a custom entity that is associated with the Event, the integration service can also push attendee data into a custom entity that is associated with Contacts and Leads. You can determine whether or not you want these records created at registration and updated with attendee data, or only create records for attendees. Any of the ON24 attendee data points can be added as custom fields to this custom entity for mapping.
Prospect Engagement Profile URL
ON24 also hosts a report page for each user, based on email address, that shows lifetime activity in your account. This report is accessible via our Prospect Engagement Profile (PEP) URL. We can push this URL over to a field in your Contact and Lead records and this URL is an un-gated report page that your Dynamics users can leverage to view ON24 activity.
Set Up
- Provision a token and name it Dynamics 365 CRM
- Submit a ticket to Support to have a TIBCO Scribe account created. Provide the email address of your Dynamics 365 CRM administrator.
- After receiving the TIBCO Scribe email invitation, your Dynamics 365 CRM administrator will follow the TIBCO Scribe Connector Guide to complete the following:
- Logging into Scribe
- Adding a connection (specifically for Microsoft Dynamics)
- Download the ON24 API Data for Dynamics CRM Excel file which identifies the ON24 fields that could be synced to your end system. Review the Instructions worksheet.
- Create your custom objects and fields in Dynamics 365 CRM. Note: Ensure the fields have write access in Dynamics.
- Complete the ON24 API Data for Dynamics CRM Excel File and send it to us in your ticket.
- ON24 will push test data through TIBCO Scribe mappings for you to validate.
- Once you confirm integration, ON24 will activate it.
Timing
Implementation Timing
The completion time to integrate data from the ON24 platform will take approximately 4 to 6 weeks to complete. ON24 will be leveraging TIBCO Scribe to pass the data.
The various milestones are illustrated here. Typically, the longest amount of time spent will be during the Testing phase to ensure the data is synced appropriately.
Scheduled Timing
Scheduled timing is when the data passes from ON24 to your end system. If you use TIBCO Scribe, integration is scheduled to run every 2 hours by default, unless otherwise specified.
Note: Scheduled timing is different from Availability Timing.
Availability Timing
Availability Timing is when registrant and attendee data is available in the data warehouse for the integrations platform to collect. Timing may fluctuate on heavy traffic days.
- Registrant - 15 minutes
- Attended Live - 30 minutes to 2 hours after the event ended
- Attended On-demand - 4 to 12 hours
Note: Availability timing is different from scheduled timing.

No, this is a one-way integration (ON24 pushes data into Dynamics).
