Breakout Rooms enable attendees and presenters to network with each other face-to-face. This article covers the features of the tool, FAQs, known issues, and links to articles covering how to set up and use the tool.
Breakout Rooms are Engagement Tools you can use in both Webcast Elite webinars and Forums events.
Note: Breakout Rooms are an add-on feature. Reach out to your Account Manager with questions.

- Available for live, Simu-live, and Sim-2-Live webinars, and Forums
- Each event can host up to ten Breakout Rooms
- Each Breakout Room has a capacity of up to 50 attendees
- Moderators and audience members do not need to download any additional programs
- Attendees can join no matter what type of device they are on
- Note: Attendees joining the Breakout Room as a "moderator" role will still need to join using a desktop or laptop. Joining as a moderator is not supported from a mobile device.
- Attendees can seamlessly enter Breakout Rooms from an event and also just as easily return to the event in progress
- Option to have moderators with extra controls
- Breakout Rooms attendance is captured in reporting, including who joined and the duration of breakout attendance
FAQs
What types of events support breakouts? |
Breakout Rooms can be used in all live webinars, including Simu-live and Sim-2-live webinars and Forums. Breakout Rooms are NOT available for on-demand webinars, including live webinars that become on-demand after they are archived. For example, during the live broadcast of an event, a Breakout Room can be used. However, once the webinar is archived and becomes on demand, the Breakout Room tool will be hidden so that on-demand attendees will not have access to it. |
Do Breakout Rooms carry over when I copy an event? |
No. |
Can I set up a Breakout Room on the fly or at the last minute? |
No. Breakouts should be configured within the Console Builder at least 30 minutes PRIOR to the start of the event. Do not wait until the last minute to configure your breakout room. Setting up a new room while the event is in progress is not currently supported. |
How can I share an access code with an attendee? |
Access codes should be provided to select attendees ahead of time. For example, if you have a set of attendees that you want to have access to a room, you could email the access code to them ahead of time. During the event experience, the Attendee Chat tool with the Direct Chat capability turned on could be used to message an attendee with an access code individually. |
Can presenters join Elite Studio and a Breakout Room at the same time? |
Yes, presenters can join a Breakout Room from within Elite Studio. |
How long can a Breakout Room be open? |
Breakout Rooms are intended to be used for a duration no longer than 60 minutes. If you want to run a Breakout Room longer than 60 minutes, please contact your Account Manager to discuss avoiding non-compliance with your contract. |
How little or large can each Breakout Room be? |
Each Breakout Room can have as few as two attendees. There is a max capacity of 50 attendees. |
Can attendees on smartphones or tablets engage in Breakout Rooms? |
Yes, attendees can join Breakout Rooms with mobile phones or tablets. Note: Moderators will still need to join via desktop or laptop. |
Can interactivity tools like Survey, Take Action, etc., be included in the Breakout Room? |
Yes, the following tools can be added to a Breakout Room if they were part of the main event console:

Will recordings of the Breakout Rooms be available? |
Yes. Moderators can record Breakout Rooms. After a Breakout Room has been recorded, the recordings are located on the Archive page in the webcast setup. Note: Only those with a Manage Users login will be able to see and access the recordings. |
Is there a way to assign attendees to specific Breakout Rooms? |
No. Currently, joining a room is initiated by the attendee and there is no way to pre-assign attendees to a specific Breakout Room. |
If an event has ended but an attendee needs to refresh their browser for any reason, can they rejoin the Breakout Room? |
Yes. In the scenario where the main event has ended and an attendee in a Breakout Room refreshes their browser for any reason, they can rejoin using the Audience URL and will successfully be brought back into the room. |

For clients using the Kollective streaming solutions, there is a limitation when using Breakout Rooms configured to show during the event. Initially, when attendees join the main event, peer-to-peer streaming is utilized. However, for attendees who join a Breakout Room, when they leave the room and rejoin the main event, the main event will no longer use the peer-to-peer streaming. For those attendees, CDNs will be used for streaming instead. |
As a workaround, refresh the browser and the stream for the main event will use Kollective streaming. |
For clients using the Hive streaming solutions, there is a limitation when using Breakout Rooms configured to show during the event. Initially, when attendees join the main event, the peer-to-peer streaming is utilized. However, for attendees who join a Breakout Room, when they leave the room and rejoin the main event, the stream for the main event stops (user sees black screen). |
As a workaround, refresh the browser and stream for the main event will start again using Hive streaming. |
When the Certification tool is configured to have an automated attendance check (AAC), the AAC is not shown in the Breakout Room. So, if an attendee is in the room when an AAC is triggered, the attendee will miss it. |
