Learn how to engage in an ON24 Breakout Room as a Moderator.
Things to Know
- Participants who join a Breakout Room set up in a webinar or Forums event via Elite Studio, or those who enter the correct moderator access code when joining, are elevated to Moderator status and have additional capabilities (when Moderator is turned on during tool setup).
- Moderators MUST be logged in via desktop or laptop - mobile devices do not support the Moderator role.
- A dial-in option is not available when joining a Breakout Room (joining from Elite Studio or from the audience console).
- Someone from the presenting team must stay connected to Elite Studio while attendees enter the breakout rooms.
- When an attendee joins the Breakout Room in a Forums event, their webcam and mic will be disconnected, and they will be prompted to set up and connect with the camera and mic within the Breakout Room. The attendee camera and mic should default to the settings used in the Forums event. When attendees rejoin the Forums event, the camera and mic will automatically reconnect with the settings used in the Forum event.
- If more than 50 participants are in a Forums event, attendees may lose their ability to join on video if they return from a Breakout Room. The first 50 attendees to rejoin the Forums event will be prompted to connect their webcams.
System Requirements
As a general best practice, close all unnecessary applications and clear your cache before logging into each event. This will improve browser performance while ensuring all recent uploads and changes are visible.

Moderator Menu
In addition to the functionality of a regular participant, there are additional options for Moderators that will display in the meeting header.
In the Participant List, all Moderators will have a badge displayed next to their name.
Click the gear icon to change your microphone or camera settings.
Participant List
From the Participant List, Moderators can take action on a participant. Hovering over a name and selecting the three dots will allow Moderators to do the following:
- Mute participant's mic
- Moderators cannot unmute someone’s microphone
- Turn Off Camera
- Moderators cannot turn on someone's camera
- Lower Hand
- Disable Mic
- Allow Screen Share
- Remove a participant from the meeting
- Note: Removing a user from the meeting sends the user back to the main event. Removal does not prevent the user from joining the room again.
In addition to taking action on a specific participant, Moderators can mute the microphone or turn off the camera for all participants by hovering over the All Participants row.
Moderators can disable/allow an attendee’s microphone.
When disabled, the attendee will not be able to unmute their microphone and they will see a message stating they cannot unmute it until permitted by the Moderator.
When allowed, the attendee can unmute their microphone.
Note: When a Moderator changes an attendee’s microphone from disabled to allowed, the microphone will still be on mute. It is up to the attendee to unmute.
By default, all attendees’ microphones are in the allowed state at the start of a Breakout Room. If you would like all attendees’ microphones to be disabled at the start of the meeting automatically, you can configure that in the tool setup. For example, if a Moderator will begin with prepared remarks and wants to ensure there are no interruptions from attendees, set the microphones to be disabled.
Participants can raise their hands by clicking the small hand button. To lower their hand, the participant clicks the same button again.
When a participant raises their hand, the border of that participant's panel will momentarily flash yellow, and a yellow hand icon will appear. Also, the raise-hand count will increase by one.
To lower a participant’s hand, moderators can click on the Participant List > Participant Name > Lower Hand.
To begin a screen share, click the screen share icon. Attendees will see the screen share in the main window. All meeting participants will display in the bottom row.
Moderators who join the room through the Audience Console can grant attendees permission to share their screens, to encourage a more interactive Breakout Room.
All attendees initially have screen share disabled.
Attendees that have been given permission will see the screen share icon along the top of their screen.
Note: Screen share is not supported on mobile devices or those on Safari browsers v15 and older.
Pinning allows you to always display one or more video streams in the video grid, even if they are not speaking.
For example, if three people are pinned, their video will always display in the video grid and the other video slots will dynamically display based on voice activation.
To pin people, click the Pin icon next to their name in the Attendees list.
Spotlighting allows you to only display those who are pinned.
For example, if three people are pinned and you enable Spotlighting, only those three people will display in the video grid.
While Spotlighting is enabled, you can add people to the video display by pinning them, or remove people from the video display by unpinning them.
To enable Spotlighting, click the Spotlighting icon in the header of the video window.
To maximize the size of the Breakout Room, click the small icon in the upper right corner of the screen. To return to the default size, click the X button or press the Escape key.
Recording the Breakout Room
If the room has been set to record, a three-dot menu will appear in the moderator menu to provide access to the room recording controls. The recording of the event will be available on the Archive page.
Chat
Moderators can clear the chat and remove past chat messages for all participants in the room.
Note: This does not impact the logging of chat messages for reporting purposes. All chat messages will still be captured in reports.
End/Leave Breakout Room
Pressing End Breakout will end the Breakout Room for all participants in the room, returning everyone to the main event.
If the event has concluded when the Breakout Room ends, participants will see a 'This meeting has concluded' message instead.
Press Leave to leave the meeting.
